Vendor Information

The Florida Police Chiefs Association is holding its Mid-Winter Conference and Exposition from January 29th - 31st, 2012, at the Renaissance World Golf Village Resort, in St. Augustine, Florida and you are cordially invited to attend. Once again, we anticipate that booth space will sell out well in advance of the conference - don't get left out - send in your registration form today! If we do not receive your registration form by December 28, 2011 your company will NOT be listed in the Conference Program.

Attendance and Location ...

As our veteran vendors know, we broke all attendance records at our last mid-winter conference and exhibition space continues to sell out well in advance. We anticipate excellent attendance from our membership of over 750 police executives. We would like you to exhibit your latest, innovative products and services to these decision makers. Once again this year, we will send special invitations to local Sheriff's Offices, command staff, and purchasing personnel of surrounding departments, as well as corporate security directors, to view the exhibits free of charge. The Renaissance WGV Resort will host this training conference and exposition and will allow food and drink in the vendor area to enhance viewing hours. Vendor space will sell out quickly so don't delay ... to hold your place, mail, fax, or e-mail your registration form as soon as possible!

Exhibit Dates ...

Sunday, January 29th, 2012 - Monday, January 30th, 2012.
Vendor registration begins at 9:00 a.m. on Sunday and vendors may begin setup at 1:00 p.m. The Exposition will open at 5:00 p.m. Sunday afternoon with a Member/Vendor Welcome Reception and will continue until 7:00 p.m. The Annual Pizza Party, sponsored by L.A.W. Publications, will immediately follow the Reception. The exhibit hours for Monday are from 7:30 a.m. until 3:30 p.m., and will include a Continental Breakfast followed by Open House for local Law Enforcement agencies, command staff, and purchasing personnel of surrounding agencies and cities. Monday also includes a three hour training session for the chiefs with the vendors in the Exposition Hall. This session will begin at 11:30 am and continue until 2:30 p.m. Luncheon and refreshments will be provided for everyone in the Exposition Hall. The Exposition will close at 3:30 p.m., and door prizes for our vendors will be given at that time. Note: Early breakdown will result in a $200.00 fee and last booth choice at the next FPCA exhibition attended.

Cost ...

The registration fee for the conference is $500 for an 10' x 10' booth. Premium booth space is available for an additional sponsor fee of $250 (Bronze) or $1000 (Silver). Booths include table draping, two chairs, and facility rental. There is a fee for electrical service: 1-3 amps, $30; 4-6 amps, $50; and 7-10 amps, $70. Please indicate your electrical needs on your booth registration form. The FPCA will provide 24-hour security. All of our vendors are invited to participate in Sunday's reception and our continental breakfast and buffet luncheon that will be held IN THE VENDOR AREA. To guarantee space, you must return your completed registration form and deposit of $100 at the time of registration, with the balance due within thirty (30) days, and no later than December 28, 2011. Since space is limited, reservations, display locations and special requests will be based on the order of receipt of checks.

Display Information ...

Booths include: table, draping, two chairs, facility rental. See registration form for electrical service fee. Vendors must supply their own sign(s). The facility is capable of supplying single and three phase electric and access to phone/data for an additional charge (see registration form). If you have special needs such as telecommunications, etc. click here for a vendor request form. Special requests will be handled by the hotel. Vehicles will have access to the exhibition area. Floor capacity is 15 lbs. per square foot. Street access/loading dock information: Interior, 8'10" high x 11'10" wide; Exterior, 8'10" high x 11'10" wide.

*PLEASE NOTE - Only one company per booth. Absolutely NO EXCEPTIONS!
Exhibitors may not reassign, sublet, or allow other companies to use the whole or a part of the space assigned by FPCA. Exhibitors may not display or advertise any goods or services not manufactured, distributed, otherwise provided by the exhibiting company during the normal course of business. FPCA policy firmly restricts representatives of organizations that have not purchased official exhibit booth space from soliciting business and from distributing promotional materials of any type within the Exhibit Hall area or any other areas. Those found doing so will be immediately asked to leave.

Exposition Area Information ...

Vehicles will have access to the exposition area. Please remember that vehicles require the purchase of two booths and does not allow space for a table. Floor load capacity is 15 lbs. per square foot. Street access/loading dock door information: Interior, 8'10" high x 11'10" wide; Exterior, 8'10" high x 11' 10" wide. Marketing your company ...

During our last conference we "assigned" the Chiefs five exhibitors to visit during the exposition hours, requesting that the vendor write their company name and initials on the Chief's assigned booths slip in order for them to receive door prize tickets. After receiving rave comments from our vendors, we are once again using this unique concept. We will also use our popular vendor directory check-off and "Mystery Vendor" prize drawing during our Mid-Winter Conference as these concepts continue to receive a positive response from our vendors. In order for our members to participate in the prize drawings, they must get each vendor to initial their conference program guide - one vendor will be selected as our "Mystery Vendor" and the chiefs who visit their booth will be entered into a separate drawing for a special grand prize.
